What is an OKR, PPP, KPI Tracker!?

The best way to plan and track your startup is with OKRs, PPPs and KPIs. Yes, those are a lot of acronyms! Don’t worry- I wrote a huge supporting blog you can learn from.

But let’s cover the three terms quickly:

  1. OKR: The system made famous first by Intel and made known by Google gets all staff to outline their major objectives and the quantifiable actions (i.e. key results) it’ll take to achieve them. This is a technique designed for accountability which is enforced with scores (Which we won’t do).
  2. KPI: Key Performance Indicators. They tell you how you’re doing with numbers. Or more specifically, they tell you if your startup is going to hit its targets and not go bust.
  3. PPP: Progress, Plans and Problems. It’s a really simple system used by startups large and small (From Skype to Seedcamp) to facilitate fantastic communication regarding what people are working on. Your daily startup standup is the same structure as your weekly PPP. What you did, what you’re going to do and where you have issues the team needs to help with.

There are fancy tools to manage these and more complicated systems, but this is designed to get you 80% of the benefit AND to be simple enough that staff will actually use this!

What I did was study OKRs, and what other useful tools startups use, simplify them, and put them into a Google Sheet that’s easy to use. And to make it more cool, I designed a way to automatically send updates from the sheet to managers each week!

Who Needs an OKR PPP KPI Tracker?

Everyone in startup-related land needs to know about this topic. So whether you are 3 founders, or hitting 20 staff, pay attention

Tiny Teams

Any startup is a huge pain in the rear! There is just so much to learn and figure out! Why should this be another one?

I don’t care if you are just 3 smelly bros in a garage dreaming of being the next Apple or not, using this tool will be very useful.

You might argue “Alexander, we can smell each other, why do we need to collaborate with a tool?” and that is a good question.

It’s not about the tool, it’s that you follow the best learnings to set OKR, track KPI, and record PPP so everyone is clear.

Then consider this:

  • Not everyone is a CEO type. Some people prefer typing rather than talking (shocking I know!)
  • What about the new staff as you grow? By starting with good systems and processes, you set the standard for all new staff. You ignore the culture shock of trying to force this upon the team when you are 10

Growing Startup

Once you are at ten plus people or “more people that can eat one pizza” coordination is going to be a big part of your plate.

When you hit 50 people, sure, start spending some money on a fancy tool, but even then who wants to use it..? Right?

This tool does ‘good enough’ out of the box. It’s got built-in reporting to send weekly updates, which is neat.

It’s simple enough to learn how to use that staff won’t waste time learning, and easy enough to fill in that they won’t resent you.

How do I open the file?

When you press download in an email from me, it normally saves to your Downloads folder.

So go there first to find the file.

I normally have to ZIP the file so it will work with SaaS automation systems.

So get WinZip, WinRAR, or use whatever Mac/PC offers these days. Unzip the file (Right click and press “uncompress” etc). If you don’t know how to do this, then use Google.

Once you uncompress, the ZIP file will remain, and you will see a new file (sort the download folder by date modified if confused).

I assure you that everything I provide works, so if you can’t access it, it’s a ‘you’ problem.
